Office Policies

For complete transparency, we kindly ask that all patients review the important policies below before scheduling or confirming their appointments. These policies help us ensure safe and effective care for everyone, and we truly appreciate your time in going over them.

Retinal imaging policy

At Northlake Eye, retinal imaging is a required procedure to receive a comprehensive eye exam. In doing so, the practice adheres to the North Carolina Board of Optometry's Policy on Retinal Photography.

 

If a patient prefers not to undergo retinal imaging or requests a dilated eye exam instead, we respectfully refer them to other practices that do not follow this policy.

24-hour cancellation and "no show" policy 

When a patient misses an appointment or reschedules without providing adequate notice, it prevents another patient from accessing essential eye care. To ensure fairness and efficiency, the practice reserves the right to charge a $50.00 fee for missed appointments (“no-shows”) or for appointments not canceled at least 24 hours in advance, except in cases of compelling circumstances.

“No-show” fees will be billed directly to the patient, as they are not covered by insurance. These fees must be paid before scheduling your next appointment. Repeated no-shows within a 12-month period may result in dismissal from our practice.

Appointment grace period policy

We respect your time and in return ask that you respect the time of our eye care team. This includes their ability to take lunch and leave the office to spend time with family.

 

As a result, we do not have a grace period for the last appointment of the morning or afternoon. With this in mind, we ask that all patients arrive 15 minutes prior to their appointment time to ensure intake paperwork and insurance information are completed appropriately.

Zero tolerance policy

Aggressive behavior is not tolerated at any Northlake Eye facilities. Incidents may result in removal from Northlake Eye facilities and prosecution.

 

Examples of aggressive behavior include:

  • Verbal harassment, threats, or abusive language

  • Gestures Racist or derogatory comments directed at others

  • Sexual language directed at others

  • Failure to respond to staff instructions.

  • Physical assault
